Privacy Policy

What information Sanctuary Get Involved collects, how it is used, what is public versus private, the LTI Group LLC technical-operator role, and your choices — including SMS.

Sanctuary Get Involved respects your privacy. This policy explains what we collect, why, what is public versus private, how long we keep it, and the choices and rights you have.

Information we collect

We collect information you provide and information generated by using the site, including:

  • account information (name, email, property identification, and your hashed password — we never store your password in readable form);
  • owner-verification information and access-code data (stored only as a one-way hash, never in readable form);
  • contact information and messages you send us;
  • suggestions and website feedback;
  • candidate-profile information, and any files or images a candidate uploads;
  • login, security, audit, moderation, and consent records;
  • technical/device information and email-delivery data; and
  • interactions with the Lexi assistant and applicable logs.

How we use information

We use information to:

  • authenticate accounts and verify owners;
  • provide protected records and election-information services;
  • publish approved candidate profiles;
  • administer the website and respond to suggestions and feedback;
  • provide security, fraud prevention, and system monitoring;
  • deliver email you requested or that is needed for your account;
  • comply with legal obligations; and
  • improve accessibility and performance.

What is public versus private

Most account and owner information is private and restricted. The key distinctions:

  • candidate statements approved for publication are public, and a candidate's public files become publicly viewable after approval;
  • a candidate's email, telephone, property details, access code, or private verification data are NOT public unless the candidate expressly opts in to publish a specific contact method;
  • website feedback is private by default;
  • owner account and verification data remain restricted; and
  • we may use aggregated information that does not identify any owner.

Service providers and data sharing

We use trusted providers to operate the site — for example, hosting and database (Railway), email delivery (Resend), and the assistant/telephony platform (Telnyx). They process information only to provide their service to us.

We do not sell your information and do not share it for unrelated promotional or marketing purposes. We may disclose information when required by law or to protect rights, safety, or the security of the platform.

Retention and deletion

We keep information only as long as needed for the purposes above or as required for security, consent, audit, dispute, or legal reasons. You may request deletion of your account; some records (for example, security, consent, and audit records, or a published candidate profile that has become an election record) may be retained where retention is required or legitimate.

Candidate and feedback withdrawal; your rights

A candidate may withdraw their profile; a withdrawn profile is unpublished, though a record of the timely submission may be retained as an election record. You may withdraw website feedback you submitted. You may request access to, correction of, or deletion of your information, subject to the retention rules above.

Security

We use reasonable safeguards — including hashing of passwords and access codes, role-based access controls, audit logging, and security headers — to protect information. No system is perfectly secure; you are responsible for safeguarding your own credentials and devices.

Cookies, email preferences, and unsubscribe

We use essential cookies needed to sign you in and keep the site secure. Email updates are optional and separate from your account; you can unsubscribe from optional updates at any time. Transactional emails (such as verification and security notices) are part of operating your account.

Children, data incidents, and changes

The platform is intended for adult property owners and is not directed to children. If we become aware of a data incident affecting your information, we will respond as required by applicable law.

We may update this policy. Material changes will be identified, given a new version and effective date, and — for signed-in owners — presented for acknowledgment at the next appropriate sign-in.

The LTI Group LLC technical-operator role and your data

Sanctuary Get Involved is an independent, owner-directed community information platform created and provided by LTI Group LLC as a no-cost gift for the benefit of Sanctuary property owners. Participating owner administrators direct the website's community content, priorities, election information, suggestions, and moderation decisions. LTI Group LLC does not control or determine community positions, Association matters, candidate content, editorial decisions, or moderation outcomes. LTI Group LLC may retain limited technical access necessary to host, maintain, secure, troubleshoot, and support the platform, but it has no authority to use owner information for unrelated purposes or to direct the community.

LTI Group LLC operates the platform's technology and may access the minimum information necessary for authorized hosting, maintenance, security, troubleshooting, and support. LTI Group LLC does not use owner or community information for unrelated purposes and has no authority to direct the community. In this role LTI Group LLC acts as a technical service provider for the platform — not as the owner of, or decision-maker for, the community's information.

SMS / mobile information

  • We collect your mobile number only when you voluntarily provide it and opt in.
  • If you opt in to informational text messages, your mobile number is used to send the owner-information and community-alert updates you requested.
  • If you request identity verification during a phone call with Lexi, we send a one-time verification code to the mobile number on file; these codes are transactional and are sent only when you request them.
  • One-time verification codes expire within a few minutes and are stored only as a one-way hash — we never retain the code itself.
  • We share your mobile number only with our messaging provider (Telnyx) to deliver these messages; we do not sell it or share it with unrelated third parties, and we do not use it for marketing.
  • Message frequency varies. Message and data rates may apply.
  • You can reply STOP to opt out, HELP for help, or START to ask to resubscribe.
  • SMS delivery depends on your mobile carrier and cannot be guaranteed.
  • Consent to receive informational text messages is optional and is not required to use this website or your account.
